Position Summary

The Practice Manager II will work under the direct supervision of the Exec Director, Digestive Health Services, and within the established policies and procedures of Elliot Hospital. The incumbent will ensure safe and cost-effective delivery of care with approximately seven (7) or more providers and/or consisting of two or more locations. Practice Manager II provides supervision, responds to the needs of patients, staff, and providers, and is responsible for managing personnel, fiscal resources, delegating responsibilities, and communicating effectively.

At Elliot Endocrinology Associates, we provide comprehensive, specialized care for diabetes, thyroid and parathyroid disorders, osteoporosis, pituitary and adrenal conditions, polycystic ovary syndrome, and a full range of hormone-related concerns. The Elliot Center for Diabetes Management and Advanced Nutrition Therapy provides individualized, evidence-based care to support the health goals of our community. Our registered and licensed dietitians offer one-on-one nutrition counseling for children and adults, using “the most scientifically accurate nutrition information as well as some behavioral tools” to help each person achieve “optimal levels of nutrition.” In addition to comprehensive nutrition services, the Center offers specialized diabetes education for adults delivered by a Certified Diabetes Care and Education Specialist (CDCES).

This program supports individuals in understanding their diagnosis, developing effective self-management skills, and making sustainable lifestyle changes that promote long-term health.

Primary duties and Responsibilities

  • Oversees daily administrative operations of EPN/EPS practices, including patient interactions, utilization/optimization of Epic, clinical workflow, documentation, resolution of issues, processing financial and business forms, scheduling, customer service, and clinical encounters.
  • Partner with the Medical Director to oversee day-to-day operations of the practice(s), including clinic flow, staffing, scheduling, patient access, Epic utilization, clinical workflows, customer service, supply management, and resolution of operational issues.
  • Collaborates with providers and clinical leadership to support policy development and practice standards
  • Manages administrative staff to ensure timely and accurate completion of tasks, customer service excellence, and manages efforts to ensure optimal levels of reimbursement.
  • Creates, monitors, and adjusts provider schedules to maximize productivity and to increase patients’ access. Tracks provide vacation, sick, and continuing education hours. Manages physician on-call schedules.
  • Support contract compliance for employed and contracted providers. Ensure efficient use of provider templates and appointment types (new, follow-up, procedure, procedures, APP/MD visits)
  • Responsible for monitoring, developing, and achieving patient experience goals. Proactively identifies and resolves operational issues impacting patient satisfaction.
  • Oversees department staffing and tracks volume to budget projections; participates in budgetary planning, implementation, and monitoring. Researches and describes reasons for budget variances. Works with Revenue Integrity to ensure optimal levels of reimbursement. Partner with billing, coding, and revenue cycle to optimize charge capture, coding, and collections. Manage budgets, control expenses, and drive financial performance. Monitor KPIs, including work RVUs, collections, denial rates, and cost per visit.
  • Supports the implementation of new technologies, programs, and care models, and participates in strategic planning for Digestive Health Services growth and expansion.
  • Analyzes volume trends, capacity, and staffing needs, and assists in the development of dashboards for key digestive health metrics, including procedural volumes, provider inbox burden, and patient throughput.
  • Supports clinical practice and patient care by compiling data required for quality improvement initiatives and provider contract requirements. Uses feedback, access metrics, and wait-time data to continuously refine scheduling and intake models.
  • Facilitates meetings of staff, including regularly scheduled physician, PA/NP, clinical, front office, and full section meetings as needed. Provides agendas, minutes, and follow-up communication as required.
  • Supports alignment of practice operations through participation in efforts to standardize common workflows. Identifies new opportunities to advance departmental goals, measure performance, and implement quality and performance improvement plans. Coordinates operations across multiple locations if applicable.
  • Supports marketing and outreach efforts to raise awareness and cultivate new business. Fosters relationships with new and existing patients to ensure the highest level of retention and referral. Support efforts to increase referral of new patients. Coordinates updates to the EHS website as needed.
  • Contributes to the successful implementation and represents EPN/S as an active participant in health system improvement projects.
  • Responsible for overseeing the ordering of supplies and completing check requisitions for continuing medical education (CME) reimbursement.
  • Provides administrative leadership to other EPN/S departments (on a limited, temporary, or extended basis) upon request and as appropriate/possible.
  • Completes and delivers annual performance reviews of administrative staff. Provide ongoing feedback and implement performance improvement plans as needed.
  • Collaborate with Medical Directors to prepare and execute provider annual reviews. Utilizes the Just Culture algorithm to lead performance management.
  • Responsible for maintaining Environment of Care and ensures compliance with EHS policies and procedures as well as established safety and regulatory agencies. Ensure employees adhere to patient safety guidelines and confidentiality requirements and maintain high levels of customer service.
  • Responsible for the professional development of staff. Implements staff training and development programs. Provides leadership of workflow improvement programs. Participates in the development of succession planning.
  • Payment and EOD balancing; FTE Requests, Open Encounter Reports; Office WQ's; Office Charge Review WQ's (EPS) Charge Reconciliation; also, referral, access, scheduling, testing, and financial reports as needed. Approve provider time sheets, IT, and other requests.

Education: Bachelor’s degree in business management, hospital administration, or a closely related field required.

Experience: A minimum of three-five (3- 5) years of work and supervisory experience, preferably in practice management of multiple locations, required. Proficiency with MS Office software.

Certification/Licensure: Membership in professional organization encouraged.
