Practice Manager II - Outpatient Rehab - Full Time | Will sit out of Rivers Edge Outpatient location but will travel and spend time as needed at the other outpatient locations (Bedford, Manchester, Londonderry, Hooksett). Primarily day shift Monday-Friday.

About the Job

The Practice Manager II will work under the direct supervision of the Director and within the established policies and procedures of the Elliot Hospital. Ensure the safe and cost-effective delivery of care and oversees clerical operations across all outpatient rehabilitation locations, with oversight of multiple offsite locations and their clerical staff. The Practice Manager II provides supervision responding to the needs of patients, staff, and therapists and is responsible for the management of personnel, fiscal resources, delegation of responsibilities, and effective communication.

Elliot Rehabilitation Services outpatient department consists of 8 clinics across the greater Manchester area. We offer physical, occupational and speech services across a multitude of specializations including orthopedics, neurological, pelvic floor, vestibular, geriatrics, pediatrics and oncology. What You’ll Do

  • Oversee daily administrative operations of EHS Rehabilitation practices including patient interactions, utilization/optimization of EPIC, clinical workflows, documentation, and resolution of issues, processing financial and business forms, scheduling, customer service and clinical encounters.
  • Manage EHS outpatient rehabilitation intake representatives that support centralized scheduling, insurance verification and referral processing activities for the entire outpatient rehab network. Ensures high reliability of outcomes towards established benchmarks and accurate scheduling to optimize patient throughput.
  • Responsible for direct coordination and liaison activities as representative for EHS Rehabilitation with EHS revenue cycle, finance departments, and contracting to ensure outpatient rehabilitation services is up to date and compliant with insurance verification and patient processing changes as they occur.
  • Manage administrative and clinical staff to ensure timely and accurate completion of tasks and customer service excellence; manage efforts to ensure optimal levels of reimbursement.
  • Create, monitor and adjust PSR staff schedule, and along with Outpatient Rehabilitation Services Manager, responsible for the effective scheduling of therapists within Epic across rehabilitation services to maximize productivity and to increase patients’ access. Manage vacation and sick hours and ensure appropriate front desk coverage across all outpatient rehabilitation arenas.
  • Responsible for monitoring, developing, and achieving patient experience goals.
  • Oversee department staffing and track volume to budget projections; participate in budgetary planning, implementation, and monitoring. Research and describe reasons for budget variances. Work with Revenue Integrity to ensure optimal levels of reimbursement.
  • Identify new opportunities to advance departmental goals, measure performance, and implement quality and performance improvements plans. Facilitate multidisciplinary participation.
  • Facilitate meetings of PSRs and practice coordinators, including regularly scheduled front office and full section meetings as needed. Provides agenda, minutes and follow-up communication as required. Assist in facilitation with large department meetings and coordinate follow up action items as delegated.
  • Support alignment of practice operations through participation in efforts to standardize common workflows.
  • Support marketing and outreach efforts to raise awareness and cultivate new business. Foster relationships with new and existing patients to ensure highest level of retention and referral. Support efforts to increase referral of new patients. Update EHS website as needed.
  • Participate and contribute to the successful implementation in health system improvement projects.
  • Complete and deliver annual performance reviews for assigned staff. Provide ongoing feedback and implement performance improvement plans as needed.
  • Provide administrative leadership to other departments (on a limited, temporary or extended basis) upon request and as appropriate/possible.
  • Responsible for maintaining Environment of Care and ensures compliance with EHS policies and procedures as well as established safety and regulatory guidelines, including HIPAA, OSHA, DNV and infection prevention policies and procedures. Ensure employees adhere to patient safety guidelines, confidentiality requirements, and ensure high levels of customer service.
  • Responsible for professional development of staff. Implement staff training and development programs. Provide leadership of workflow improvement programs
  • Payment and EOD balancing; FTE Requests, Office WQ's; Charge Reconciliation; referral, access, scheduling, and financial reports as needed.

What You’ll Need

Bachelors Degree or equivalent experience required. A min of 3-5 years of experience in supervisory role required, preferably management of a multi-location practice.
